Home offices and small shops still share one printer across a few Windows PCs. Windows 11 can do that — either by sharing a USB printer from a “host” PC or by pointing every PC at the same Wi-Fi printer. Pick the model that matches your hardware, then follow the matching steps below.
Choose the right sharing model

If the printer already joins Wi-Fi, skip classic sharing and add it by IP on each PC. Use Windows sharing when you are stuck with USB.
Prep the host PC (USB sharing)
- Install the full manufacturer driver on the host — not only the inbox Windows driver.
- Confirm a local test page works on the host.
- Set the network profile to Private (Settings → Network & internet → your network → Private).
- Open Advanced network settings → Advanced sharing settings.
- Under Private, turn on Network discovery and File and printer sharing.
- Optional: under All networks, turn off Password protected sharing only on trusted home LANs.
Share the printer queue
- Settings → Bluetooth & devices → Printers & scanners → your printer → Printer properties.
- Open the Sharing tab.
- Check Share this printer and give it a short name without spaces (e.g.,
).OfficeHP - Apply, then print a test page again on the host.
On Windows 11 you can also use Settings → Bluetooth & devices → Printers & scanners → your printer → Printer properties if Control Panel redirects there.
Connect other Windows 11 PCs
- On the client PC, set the Wi-Fi/Ethernet profile to Private.
- Settings → Bluetooth & devices → Printers & scanners → Add device.
- Wait for the shared printer to appear, or choose Add manually → Select a shared printer by name.
- Enter
(use the host computer name and share name).\\HOST-PC-NAME\OfficeHP - Install the driver when prompted. Prefer the same manufacturer package you used on the host if Windows offers a basic driver only.
- Set it as default if needed and print a test page.
Prefer direct IP for Wi-Fi printers
Classic sharing is fragile when laptops sleep. For Wi-Fi printers:
- Print the printer’s network config page and note the IP.
- On each PC: Add printer → The printer that I want isn’t listed → Add a printer using TCP/IP address.
- Enter the IP, finish the wizard, and reserve that IP in the router DHCP list.
- Repeat on every PC that needs to print.
Everyone talks to the printer directly. No host PC required.
Fix “can’t find shared printer”
- Ping the host PC by name and by IP.
- Confirm both PCs are on the same LAN — not a guest Wi-Fi with client isolation.
- Temporarily allow File and Printer Sharing in Windows Defender Firewall for Private networks.
- Wake the host; disable USB selective suspend if the shared USB printer vanishes after idle.
- Match workgroup names on older mixed Windows 10/11 offices if discovery still fails.

Can I share a USB printer on Windows 11?+
Yes. Plug the printer into the host PC, install drivers, enable printer sharing, and connect other Windows PCs to that shared queue. The host PC must be awake for others to print.
Is sharing better than Wi-Fi for every PC?+
If the printer has solid Wi-Fi, add it directly on each PC with a Standard TCP/IP port. Use sharing when the printer is USB-only or when one PC already has the working driver and others need a quick path.
Why can’t other PCs see the shared printer?+
Network discovery or File and Printer Sharing is off, the PCs are on different Wi-Fi bands/VLANs, password-protected sharing blocks guests, or the host is asleep. Turn discovery on for Private networks and keep the host awake.
Do Macs work with a Windows shared printer?+
Sometimes, via SMB, but results vary by driver. Prefer connecting the Mac straight to the printer by IP or AirPrint when the printer supports it.
